Syncology Privacy Notice

  1. Who this notice covers

This notice explains how Syncology, Inc. (“Syncology,” “we,” “us”) handles personal information when we act as a controller, meaning when we decide why and how that information is used. It applies to visitors to our website, prospective customers, and the individuals who administer, use, or pay for a Syncology subscription on behalf of a customer organization.

Syncology, Inc. is an Illinois corporation with its principal office at 10 South Riverside Plaza, Suite 875, Chicago, Illinois 60606.

  1. What this notice does not cover

This notice does not apply to the data our customers move through the Syncology platform. Syncology is an integration platform. Our customers connect their own systems to the platform and decide which fields are transmitted, how those fields are mapped, and what transformations are applied. When we handle that data, we act as a processor or service provider on the customer’s instructions, not as a controller.

That processing is governed by our Data Processing Addendum and by the agreement between Syncology and the customer, not by this notice. If your personal information was transmitted through the Syncology platform by an organization you deal with, that organization is the controller and you should direct your request to them. We will refer any request we receive about that data to the relevant customer.

The platform does not store customer data other than records held in a retry queue when a data pipeline fails, and it provides no feature to export customer data.

We may also disclose personal information to professional advisors such as lawyers and accountants, to authorities where required by law or valid legal process, to protect our rights or the safety of others, and to a successor in connection with a merger, acquisition, or sale of assets. We require our service providers to protect personal information and to use it only for the purposes we specify.

  1. Where we process information

We process personal information in the United States. If you are located elsewhere and choose to contact us or use our services, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

  1. How we protect information

We maintain administrative, technical, and physical safeguards designed to protect personal information, including role-based access control, encryption in transit and at rest, logging and monitoring, and personnel confidentiality obligations. Those controls are identified through a risk assessment conducted in accordance with NIST SP 800-37 and are described in the Syncology Security Policy at https://syncology.app/legal/security. No system is completely secure, and we cannot guarantee absolute security.

  1. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding the personal information we hold as a controller:

  • to know what personal information we collect, use, and disclose, and to obtain a copy of it;
  • to correct inaccurate personal information;
  • to request deletion of personal information;
  • to obtain a portable copy of personal information you provided to us;
  • to opt out of the sale or sharing of personal information, of targeted advertising, and of profiling with legal or similarly significant effects, none of which we do; and
  • not to be discriminated against for exercising any of these rights.

To make a request, contact us at syncology@scalesology.info or at the address in Section 11. We will verify your identity before responding, usually by confirming information already associated with your account or by asking you to respond from an email address on file. An authorized agent may submit a request on your behalf with written permission, and we may still ask you to verify your identity directly.

We will respond within 45 days, and may extend that period by a further 45 days where reasonably necessary, in which case we will tell you within the first 45 days. We do not charge a fee for a reasonable request.

If we decline your request, you may appeal by writing to syncology@scalesology.info with the subject line “Privacy Appeal.” We will respond to an appeal within 45 days and will explain the reasons for our decision. If your appeal is denied, you may contact the attorney general in your state.

  1. Cookies and similar technologies

We use cookies and similar technologies on our website. Strictly necessary cookies keep the site working, maintain your session, and support security; these cannot be turned off. Analytics cookies, currently Google Analytics, help us understand how visitors find and use the site. Scheduling cookies set by Calendly support booking a product demonstration. We do not use cookies for advertising or cross-context behavioral tracking. When you first visit the site you will be presented with a consent banner allowing you to accept or decline non-essential cookies, and you can change your choice at any time through the cookie preferences link in the site footer. You can also control cookies through your browser settings, though blocking strictly necessary cookies may prevent parts of the site from working.

  1. Changes to this notice

We may update this notice from time to time. We will post the updated version at the address above and change the effective date. Where a change materially affects how we handle personal information, we will provide additional notice, such as by email to account administrators.
